Calendar connection privacy
Wilkinson Transport Limited operates One Stop Driver Training and its staff calendar integration. This notice covers Google and Microsoft calendar connections. It supplements the website's general privacy information.
Information we access
With your permission, we read calendar identifiers, names and editing permissions so you can select calendars. From selected personal calendars, we read busy intervals and the event identifiers, status, start and end times, and locations needed to check availability and travel. The availability integration does not request personal event titles, descriptions or attendee lists.
We read, create, update and remove One Stop lesson copies in the separate lesson calendar you choose. We do not use this connection to edit unrelated personal appointments. Google and Microsoft grant permissions that can be broader than these application actions; their consent screens describe the permissions you are authorising.
How we use the information
We use calendar data to avoid scheduling conflicts, check travel between commitments, and keep One Stop lesson copies up to date. Customers receive available lesson times, without the details of your personal appointments. One Stop remains the original booking record.
Storage and access
Our private database stores encrypted provider access and refresh tokens, selected calendar identifiers, connection status and metadata, and lesson-copy references. Authorised staff can see connection and scheduling information according to their One Stop access level. Availability and travel responses for a driving-lesson search are processed for that request, rather than saved as a personal calendar history. Operational records can include check outcomes, connection changes and lesson-copy references.
Sharing and service providers
Google or Microsoft processes the calendar requests and stores lesson copies in your selected account. Those copies contain the course, status, lesson times, venue or pickup and drop-off addresses, and authenticated staff booking and review links. They do not include learner contact details, private notes or public booking access tokens. Anyone you share that calendar with may see its lesson copies.
For travel checks, relevant event locations or coordinates may be sent to Google Maps services to resolve addresses and estimate routes. Railway hosts the application and database. These providers may process information outside New Zealand. We do not sell calendar data, use it for advertising, or use it to train artificial intelligence models. Google user data is used in accordance with the Google API Services User Data Policy, including its Limited Use requirements.
Disconnecting, retention and deletion
Disconnect in One Stop's calendar settings to remove the saved access and refresh tokens and selected calendars from the application. You can also revoke the app's access in your Google or Microsoft account. Reconnecting with another account requires new permission and calendar selection. Existing lesson copies in the previous calendar are not removed automatically; you can delete them there.
When your One Stop staff access ends, or a lesson moves to another instructor, we use your saved connection only to delete the lesson copies One Stop created. If you disconnected first or that access no longer works, we cannot remove them, and the business owner is told so they can ask you to delete them.
Disconnecting does not delete One Stop bookings or operational audit records. Connection and historical lesson-copy references may remain for support and accountability. Contact us to request access, correction or deletion of retained calendar-related data; we will explain any records that must be retained for business or legal requirements. No automatic deletion period is currently configured for those records.
